Queensland learner logbook app

Test update in UAT The Queensland learner logbook app is a paperless way to record trips, send them to your supervisor for approval and submit your completed logbook to the Department of Transport and Main Roads for final assessment.

Make sure you submit your logbook at least 12 business days before your driving test. You can't take your test until we have approved your logbook.

Getting the app

You can download the Queensland Learner Logbook app free from the App Store or Google Play. If you can't find the app, try upgrading your device's operating system or using a newer device.

Download the app to your own device or to a trusted device that you can regularly access. If someone else will be using the device, log out so that no one else can see or change your trip data.

Log in or register

If you've used the app before you can log in with your email address and password or use the Forgot Password? link.

If you haven't used the app before, you'll need to register to use it.

How to register

When you register you'll need to:

  • read and agree to the terms and conditions
  • enter your email address—choose one that you'll have access to for the whole time you use the app. Avoid using school or work-based emails if possible, and don't use shared email accounts that other people can access
  • choose a password
  • enter the validation code that gets sent to your email address.

Enter personal details

You will need to provide your:

  • name, as shown on your learner licence (don't use a nickname)
  • date of birth (you must be at least 16 to use the app)
  • learner licence number
  • mobile number.

Once you've provided these details, you'll see a tutorial and be able to use the app.

Using the app

When your device is connected to the internet, any changes you make in the app will be synced to our servers and saved securely. If you're offline, you can still use your logbook—the changes will be synced the next time you're connected to the internet with the app open.

If you've taken a trip while your device is offline, approval emails won't be sent to your supervisor until your app's data has been synced to our servers.

The app has 6 sections:

Summary

When you open the app, the first screen you'll see is the Summary screen.

The screen shows the:

  • driving hours for trips that have been approved by your supervisor, both as a total and broken down into day and night hours
  • number of trips you've logged in the app
  • number of trips that you've submitted but have not been approved by your supervisor
  • number of supervisors and vehicles you've added to the app
  • last time your data was synced.

You can add a new trip, vehicle or supervisor to the app by tapping the plus Plus icon icon at the top right of the screen or the green plus button at the bottom right of the screen.

Data syncing

Syncing happens when:

  • you perform certain activities in the app, such as adding a trip
    and
  • you are connected to the internet.

You can also tap the sync Sync icon - a cloud with an up arrow inside icon in the top right corner to manually sync your data.

Supervisors

You will need to enter details for at least 1 supervisor before you can add a trip.

After you record a trip, your supervisor will be sent an email with the trip details, either immediately or the next time your app is connected to the internet. If the supervisor approves the trip, it will be added to your driving hours.

Add a supervisor

You can add a supervisor by tapping the plus sign on the Summary screen or the Supervisor screen.

To add a supervisor, you will need their:

  • first and last name
  • driver licence number
  • email address (this must be different to the learner driver's email address)
  • phone number.

You will also need to indicate whether they are a driver trainer.

Once you've added a supervisor, you can tap the star next to their name to set them as a favourite—this means they will be selected automatically when you create a new trip.

Driver trainers

If you take a trip with a driver trainer, you'll get 3 hours towards your total for every hour of your trip. You can do this for up to 10 hours to get 30 hours towards your total. If you take a trip with a driver trainer at night, you can choose either to have the trip count as triple hours or as night hours, not both.

When you add a driver trainer as a supervisor, make sure to tap the Is this supervisor a driver trainer? toggle and enter the name of their driving school. The app will automatically add the extra time for trips with this supervisor until you've reached the limit.

Update or delete a supervisor

If you need to make changes to supervisor details, go to the Supervisors section of the menu. Your supervisor will need to approve any trips that were completed under the old details again.

You can also delete a supervisor, but only if they're not part of an approved trip.

Vehicles

You will need to enter details for at least 1 vehicle before you can start adding trips.

Add a vehicle

You can add a vehicle by tapping the plus sign on the Summary screen or the Vehicle screen.

To add a vehicle, you will need to know its number plate.

Once you've added a vehicle, you can tap the star next to its name to set it as a favourite—this means the vehicle will be selected automatically when you create a new trip.

Update or delete a vehicle

If you need to make changes to vehicle details, go to the Vehicles section of the menu. Your supervisor will need to approve any trips that were completed under the old vehicle details again.

If the vehicle has new number plates, add a new vehicle instead of updating the existing vehicle.

You can also delete a vehicle, but only if it hasn't been used in an approved trip.

Trips

View trips

The Trips screen shows you all of the trips you've created in the app. Trips are grouped into 3 categories: Approved, Not Approved and Rejected. Only approved trips are counted in your total driving hours.

If you made a mistake when you entered a trip, find it in the trips list, make your changes and click the Update button. If the trip was already approved, the supervisor will need to approve it again.

Add a trip

You can add a new trip in the app by tapping the plus button on the Summary screen or on the Trips screen.

From the new trip screen you can:

  • add a trip as you're taking it by tapping Start timed trip—the app will start a timer to track your trip length. (Don't use your mobile device while you're driving—start and end the trip while the vehicle is safely parked)
  • add a trip after you've taken it by tapping Enter all details—you will need to enter the start and end times yourself.

When you add a trip you will need to enter the:

  • Start and end location (these may be entered automatically if you have location services enabled in the app)
  • Supervisor
  • Vehicle
  • Start and end odometer reading.

Night trips

Any driving time between sunset and sunrise can count towards your night driving requirement.

  • Sunset and sunrise times vary based on time of year, location and time zone.
  • Within the app, a night time travel toggle will appear if any part of your trip was between 4.35pm and 7.55am.

If you drove at night, you can turn on the toggle and record how much of the trip happened at night. When the trip is approved, that part of your trip will be counted towards your night driving requirement.

Note: If you make a false or misleading logbook entry by incorrectly claiming all or part of a trip as night time driving, you may be fined and not allowed to take your practical test until 6 weeks after your resubmitted logbook is approved.

If you take a trip at night with a driver trainer, it can either be counted as triple time or night hours, not both. You can turn off the night time travel toggle to get your triple credit. For example, if you take a trip with a driver trainer between 7pm and 8pm, you can choose for the trip to be counted as either 3 hours of daytime driving or 1 hour of night driving. You can claim triple time for up to 10 hours of trips with a driver trainer to get 30 hours towards your total.

Submit a trip

Tap the Finish button to submit a timed trip you've just finished or the Add trip button to submit a previous trip.

Once you've submitted a trip, the details you entered will be emailed to your supervisor. If you're not connected to the internet when you submit the trip, the email will be sent the next time your app can connect.

The trip will be shown in the Not approved section of the Trips screen until it is approved or rejected.

If your supervisor approves the trip, it will move to the Approved section of the Trips screen and will count towards your driving totals.

If your supervisor rejects your trip, they will be asked to give a reason for the rejection. The trip will be moved to the Rejected section of the Trips screen with the reason shown at the top. You can tap the trip to edit and resubmit it.

Resume a timed trip

If you're running version 4.1.28 of the learner logbook app, you won't lose your progress if the app closes or crashes during a timed trip.

The trip will continue automatically the next time you open the app.

You can also tap the Continue trip in progress button on the Summary or Add Trip screens to keep going.

It doesn’t matter how long the app has been closed—the timer will count from the trip's original start time.

If you don’t want to resume the trip, you can cancel it and start a new one.

Re-send a trip

When you submit a trip to your supervisor, they receive an email with links to approve or reject the trip. If they don't receive the email or can't find it, you can re-send the trip approval email:

  • find the trip you want to re-send in the Not approved section of the Trips screen and tap it
  • tap the 3 dots in the top right corner of the trip
  • choose the Send email to supervisor option.

Update or delete a trip

If you made a mistake when you entered a trip, find it in the trips list, make your changes and tap the Update button. If the trip was already approved, the supervisor will need to approve it again.

You can also delete a trip by tapping the Delete button. Once a trip is deleted it can't be recovered by you or by us. If you delete a trip by mistake, you will need to create it again and submit it to your supervisor for approval.

Profile

Update your personal details

You can update your personal details on the Profile page.

Your licence number and date of birth won't be visible, but they are stored in the app and can be changed here if you made a mistake entering them.

Update your email address

If you change your email address, a validation code will be sent to the new address. You will need to enter the code into the app before you can use the new address.

Change your password

You can use the icon in the top right corner of the Profile screen to change your password when you're logged into the app.

Export trip data

Tap the icon in the top right corner of the Profile screen and choose the Email my progress option to request an email summary of your logbook hours.

After you've entered your password, we will email the address you used to register for the logbook app. The email will have your licence number in the subject line and will contain 2 PDF attachments:

  • an overview document that has details of you, your supervisors and the number of minutes you've logged (approved trips only)
  • a trip details document with a table containing information about every approved trip you've logged.

You may be able to use these documents as proof of driving experience in another state or country—check with local officials for requirements.

Change your target hours

If you need to change the target hours in the app from the standard 100 hours including 10 night hours, tap the icon in the top right corner of the Profile screen.

You can change your hours if:

  • you have partially completed a paper logbook (you will still need to submit the physical logbook separately)
  • your request to recognise previous driving experience has been approved
  • you've already submitted your logbook and we've told you that you need to complete additional hours—we will tell you what to enter in each field.

You will need to give a reason for the change and enter the new target hours.

If you've submitted your logbook already, you may need to tap the Unlock logbook option in the Profile menu before you can change your hours.

You will see the Submit logbook button once you have reached your new target hours.

Submitting your logbook

Once you've completed your required hours, a Submit logbook button will appear on your Summary screen—tap the button to begin the submission process. Submitting your logbook doesn't mean you have to take your driving test right away, so even if you're not ready for your test there's no reason to delay submitting.

Make sure you submit your logbook at least 12 business days before your driving test. You can't take your test until we have approved your logbook.

We'll ask you to confirm your mobile number so we can send you an SMS once we've finished reviewing your logbook. We'll either tell you that your logbook has been approved or let you know what you have to do next.

Before you submit you will have to read a disclaimer and confirm that all of the information you've entered is true.

If you don't submit your logbook, you will get a reminder the next time you open the app. You can choose to submit it or to be reminded again in a week.
