Once the portal has been set up, the organisation can add an unlimited number of portal users, provided the nominated users have genuine roles in managing blue card records and obligations.
Please keep in mind that any user can see the information—including confidential and sensitive information—and undertake all actions within the portal once access is provided.

Managing, reviewing and modifying links within the portal is important to ensure your organisation is keeping and maintaining accurate records. The portal allows you to view your blue card register in real time, including viewing the outcome of a blue card application or renewal, including what stage an application is at.
Linking allows an organisation to receive important notifications and updates about the applicant or card holder. This includes if their application is withdrawn or their card is suspended or cancelled. It is an offence for an organisation to engage someone working with children if their blue card has been cancelled or suspended—significant penalties apply.
When a blue or exemption card holder stops working with an organisation, the organisation must notify us. This is a requirement under legislation and can be done through the portal.
When an organisation has successfully de-linked a blue or exemption card holder, the organisation will no longer have visibility and will not be able to see the outcome or any changes in their employee’s status.
Your organisation can make payments for your employees’ blue card when applying for and renewing their blue card. Payments can be made for one or multiple transactions.
A payment can be made when:
the applicant is applying for the first time, or the card holder is due for renewal and has registered for an online account
your organisation has created a link with the applicant or card holder.
A valid blue card can only be renewed 16 weeks prior to the expiry date. You will not be able to pay for the renewal more than 16 weeks before expiry.
Once payment has been made, the applicant or card holder will receive an email or text message advising them a payment has been made and to continue to apply online for their blue card. Payments for a replacement card and volunteer to paid transfers can be made via Bpoint.
Portal users can access notices within the portal. Notices alert an organisation of essential information that relates to applicants and card holders.
Portal users will be able to access notices when a:
blue or exemption card is due to expire
card holder has submitted an on-time renewal application prior to the expiry date of the current card
blue or exemption card is issued.
The ‘card due to expire’ notice will appear at 10 weeks, 4 weeks, 2 weeks and 2 days prior to the cards’ expiration and will only be issued if the applicant has not yet submitted a renewal form.
If a card holder does not renew prior to their card expiry date, the link with their organisation will cease upon the card expiring. In this case the applicant will need to re-apply, be re-linked to your organisation and will be subject to the No Card, No Start Laws.
