Learner logbook app—information for supervisors
If your learner driver is using the Queensland Learner Logbook app, you will approve or reject their trips by email–you don’t need to download the app.
Adding supervisor details in the app
Your learner driver will record your name, licence number, mobile number and email address in the app when they add you as a supervisor.
This email address will be used to send you trip approval requests.
Choosing an email address
A trip will only count towards your learner driver’s total hours once you have approved it, so make sure to use an email address that:
- you will be able to access for the whole time you act as a supervisor
- has enough storage available to receive emails.
Approving or rejecting a trip
When you’re nominated as the supervisor for a trip, you will be sent an email with trip details entered by the learner driver, including:
- start and end times
- start and end locations
- odometer readings
- the vehicle used for the trip
- the trip supervisor.
After you have reviewed the trip details, use the links in the email to:
- approve the trip if details are correct
- reject the trip if details are not correct—for example, you were incorrectly listed as the supervisor for the trip or the wrong times were entered
- view all trips assigned to you that have not yet been approved or rejected.
When you approve a trip, its duration will be added to your learner driver’s total hours in the app. Your learner may need to manually sync their app by tapping the icon to see the updated total.
When you reject a trip, you will need to provide a reason for the rejection. The trip will be displayed under the Rejected heading on the Trips screen in your learner driver’s app, with your reason for rejection shown at the top. They can fix any incorrect details and submit the trip again.
Not receiving trip approval emails?
Check for typos in the app
Ask your learner to check that they have entered your email address correctly in the Supervisors section of their app. They should check for common mistakes like ending in .com instead of .com.au, and look for typos like bigpnod.com or gamil.com.
Check for issues with your email account
Make sure you have enough storage available in your email account to be able to receive emails.
If your account is under the storage limit and you’re still not receiving emails, try using a different email address instead. Ask your learner driver to update your email address on the Supervisors screen of their app and re-send any outstanding trip approval requests.
Check that the app has synced
The app requires an internet connection for trip approval emails to be sent.
If your learner driver’s mobile device isn’t always connected to mobile data or Wi-Fi, ask them to manually sync their app by tapping the icon when they have internet access.
Once the data has been synced from the app to our servers, trip approval emails will be sent.
Approving previous trips
If you haven’t received the approval email for a trip, your learner driver can re-send it through the app.
You can also choose the View all trips assigned to me option in the approval email to see a list of trips that you haven’t approved or rejected yet.
Information for driver trainers
If you’re an accredited driver trainer, your student must add your details in the Supervisors section of their app correctly so that:
- they receive triple time for eligible trips
- you receive their trip approval emails.
When a student adds you as a supervisor in their Queensland Learner Logbook app, they must choose the Is this supervisor a driver trainer? option and enter the name of your driving school.
When you've been added as a driver trainer:
- trip approval emails will include the name of your driving school (as entered by your student) in the Trip information section—if no school is shown, your student has not added your details correctly
- eligible trips will be counted as triple time once you have approved them.
Triple time
Every hour of driving with an accredited driver trainer counts for 3 hours in a learner driver’s logbook—up to a maximum of 10 actual hours or 30 logbook hours.
Night trips with a driver trainer
When a learner driver takes a trip with a driver trainer at night, trip time can either be counted as triple time or night hours, not both.
For trips taken at night, A Night time travel? option will appear when the learner driver is completing trip details. If they choose this option, the time will be counted towards their night driving total, but will not count as triple time.
For example, you take a trip with a student from 8pm to 9pm:
- If they do not choose the Night time travel option, when the trip is approved their total hours will increase by 3 hours and their night hours will not change.
- If they choose the Night time travel option, when the trip is approved their night hours and total hours will increase by 1 hour.
Not receiving trip approval emails?
If you’re not receiving trip approval emails for a specific student, check that they’ve recorded your email address correctly in the app. Ask them to check for common mistakes, like ending with .com instead of .com.au and look for typos.
